Procurement Manager

At Axess

JOB SUMMARY

 

Responsibility and accountability for the purchase of parts, materials and services to ensure that the company’s operational needs are met, taking into account price, quality and delivery and to ensure continuity of supply. Contribute to the creation and implementation of best practice procurement vision, strategy, policies, processes and procedures to aid and improve operational performance. Institute policies and procedures for collecting and reporting key metrics as per Departmental requirements including reporting to foreign suppliers.

 

KEY ACCOUNTABILITIES AND DUTIES

 

Replenishment of stock for all brands of Axess

  • Prepare monthly stock orders for all Axess brands taking into consideration current stock levels, UIO (Units in operation) and operational requirements.
  • Check and validate all firm orders prior sending to suppliers.
  • Prepare initial orders for new models launched on the market.
  • Ensure stock rotation as per set company guidelines

 

Review opportunities to implement best practice purchasing policies, processes and procedures to aid and improve business performance and deliver best value and business savings

  • Ensure purchasing policy, guidelines and any associated documents are in place and updated when required
  • Work with suppliers and have a process in place to measure effective performance, quality and compliance. Measure against KPI criteria if these exist
  • Manage technological systems that track the shipment and inventory
  • Develop creative and innovative procurement processes (eProcurement)

 

Develop key relationships with business stakeholders and strategic supply partners to improve business.

  • Manage relationships with suppliers and freight forwarders
  • Select and develop new suppliers and freight forwarders
  • Negotiate and manage contract terms with suppliers to ensure value for money, quality standards and delivery terms with technical and operational input from stakeholders and colleagues
  • Review and negotiate existing agreements with freight forwarders to optimize commercial terms

 

Analytical and reporting

  • Establish a calendar for foreign supplier reporting and ensure that same is done in a systematic and efficient manner.
  • Analyze and report to Parts Manager on Spare Parts key metrics

 

Driving efficiency

  • Communicate with Procurement staff on a regular basis to make them aware of priorities, targets and operational requirements
  • Set department objectives/KPIs and review and assess on-going performance of direct reports
  • Work with Management team to share ideas and improve operation, recommending, supporting and implementing continuous improvement activities in line with quality standards requirements and customer deliverables

KEY COMPETENCIES

The Analyst and Procurement manager should have the following competencies: expertise in procurement, problem-solving, negotiation skills, excellent communication skills, supplier relationship management skills, analytical skills, a positive influencer, critical thinking, speaking and active listening. Being detail-oriented and capable of delivering a high level of accuracy, time management, ability to set personally challenging goals, stress tolerance, flexible attitude, strong organizational skills, the ability to multitask and be an assertive, act as a diplomatic leader and client orientated are also a pre-requisite for this job.

 

EXPERIENCE, EDUCATION AND KNOWLEDGE

  • At least 10 years of work experience; of which at least 4 years in similar job.
  • Education: At least Bachelor Degree in management or business studies or supply chain/procurement and/or equivalent combination of education and experience.
  • Experience in a dealership is a strong advantage and basic car knowledge is mandatory.
  • Languages: Written and spoken French and English
  • Strong proven analytical background
  • Advanced Excel skills or any similar software
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint and Access and industry-specific analysis software
  • Excellent documentation skills.
  • Computer skills: proficient with all computer applications
  • Other: Driver’s license.
