Sygeco Ltd is hiring an Administrative Intern on a 2 months basis to provide administrative support to the Sygeco team as part of our ongoing digital transformation and document centralisation policy (paperless strategy).
The intern will help streamline document management systems, ensure accurate digital archiving, and enhance accessibility of data on our client platform, Vilogi.
Key Responsibilities:
- Document Management & Digital Archiving:
- Sort, rename, and reorganise digital folders in our shared drive (shared folder).
- Ensure consistency in naming conventions and document structure.
- Digitise paper files (scanning) and properly archive them in the designated folders.
- Assist in eliminating redundant or outdated files in coordination with team leads.
- Vilogi Platform – Extranet Updates:
- Upload relevant documentation to our Vilogi software (copropriété connectée).
- Ensure that the following are filed and accessible to clients:
- Site visit reports
- Service provider contracts
- AGM notices and minutes
- Internal rules and regulations
- Building and unit plans
- Work with portfolio managers to confirm accuracy and completeness of files before upload.
Qualifications, Skills and Experiences:
- Currently pursuing a degree/diploma in administration, management, or a related field.
- Strong organisational and file management skills.
- Comfortable with digital tools and basic document editing software.
- Discreet and detail-oriented with respect to confidential information.
- Interest in real estate or property management is a plus.
- Strong communication skills
- Ability to work in team
